LIST OF CURRENT BOARD MEMBERS

Austin Oita Sister City Committee (AOSCC) is a volunteer-driven 501(c)(3) non-profit organization that thrives on dedicated members.

The Board consists of these positions: 

  • Executive Team: Chair, Vice Chair, Secretary, and Treasurer

  • Committee Leads: Business, Events, Fundraising, Government Relations, Graphic Design, Organizational Development, PR & Marketing, Social Media, Technology, and Volunteer

  • At-large members supporting the Committees

AOSCC is holds elections annually by mid January to bring committed and energetic individuals to the AOSCC Board of Directors for one-year terms. Service on the Board is an excellent opportunity to refine your skills and share your vision with a dynamic group.

On behalf of the Board of Directors, we invite interested individuals in the Austin area to submit an application and simple resume. A description of the nomination and election procedures and position requirements can be found below.

Members of the current Board of Directors have found this experience to be both highly rewarding and great fun. We hope that you will join our advocacy efforts and consider running for office.

If you would like to become involved with AOSCC but cannot commit to regular Board meetings, consider joining as a volunteer.

AOSCC Board Members

Workload estimated at 2-5hrs/month

Term: 1 year

General Board Member Duties 

  1. Attend monthly meetings whether in-person or virtual. Hybrid meetings are possible.

    • If you are unable to attend, Chair and Vice Chair must be notified ahead of time.

    • If a Board Member misses 3 meetings in a row, membership may be revoked. 

  2. Keep record of tasks/initiatives being worked on and update on the shared Google documents

  3. Participate during the decision making process for events, goals, mission, and vision (i.e., voting, making suggestions, joining a subcommittee, etc. ) 

  4. Promote the organization’s mission, vision, values, events, and opportunities to the community

  5. Maintain a good moral standing with the local community when representing the organization

  6. Recruit and inform any interested parties about the organization 

  7. Evaluate the community’s and organization’s needs and ensure that the organization is meeting those requirements (i.e. if the community is wanting us to be more involved in the arts, does that fit our mission, vision, and values, and how can we meet that need) 

  8. Invite community members to join AOSCC

  9. Elect members to the Board at the annual election

  10. Support fellow board members with their projects and/ or events (i.e. even if you are not on the festival subcommittee, if available help with decisions, tasks, or even attend the festival) 

Executive Team

Chairperson

  1. Oversee all tasks

  2. Act as contact for Japanese related events

  3. Lead and govern the board 

  4. Implement any necessary policies and procedures and ensure that all board members have approved of any policy or procedure 

  5. Evaluate current board performance 

  6. Serve as an ambassador for the organization to the community

  7. Preside over board meetings

  8. Determine the board’s priorities and create the agenda for meetings

  9. Act as main contact for Oita City Hall

  10. Submit AOSCC’s annual report to ASCI

  11. Represent AOSCC on the ASCI Board

Vice Chairperson

  1. Support chairperson in overseeing all tasks

  2. Act as main delegate in partner with chairperson 

  3. Plan, develop, and enforce policies and procedures

  4. Ensure the organization is maintaining its values and goals

  5. Assist the chairperson in managing board members (i.e. leading meetings, assigning tasks, communicating with board members

Secretary

  1. Provide communication between board members (i.e. updates, meetings, etc.) 

  2. Schedule meetings and comply with all notice and bylaws requirements

  3. Prepare and deliver meeting materials to board members

  4. Record meeting minutes

Treasurer

  1. Oversee and manage all financial documents and processes

  2. Manage the organization’s budget

  3. Prepare both the annual budget and any budgets for meetings

  4. Complete all financial reports on time

  5. Complete the annual taxes

  6. Track supporter donations and send renewals

Committee Leads

Business Committee Lead

  1. Expand relations with business relations

  2. Meet with potential business partners and/ or organizations

Events Committee Lead

  1. Organize logistics

  2. Manage the event subcommittee

  3. Organize and delegate event responsibilities

  4. Plan, coordinate, and execute events

  5. Subcommittees: 

    • #OitaATX Festival

    • Art

    • Athletics/Marathon

    • SXSW

    • Education

Fundraising Committee Lead

  1. Create annual goals for fundraising activities 

  2. Apply and record grants that are applicable for organization

  3. Meet with potential donors and/or sponsors

  4. Conduct the annual fundraising campaign

Government Relations Committee Lead

  1. Maintain and expand government relations

  2. Represent AOSCC at government functions

Graphic Design Lead

  1. Create the organization’s graphic design needs

  2. Coordinate content with PR & Marketing, Social Media and Technology Committees

Organizational Development Committee Lead

  1. Evaluate current policies and procedures and update them accordingly to current mission, vision, and values

  2. Develop and create policies and procedures that allow the organization to run efficiently and effectively

PR & Marketing Committee Lead

  1. Promote the organization's mission, vision, values, and events to the community

  2. Create and coordinate all media releases and promotions

  3. Develop PR and marketing materials for the organization 

  4. Maintain relationships with all media outlets 

Social Media Committee Lead

  1. Manage the organization’s social media accounts

  2. Create content to publish on social media

Technology Committee Lead

  1. IT support for email, website, and online meeting

  2. Update content for website

  3. Manage all technology for the organization

Volunteer Committee Lead

  1. Track all of the events and help coordinate how many volunteers will be needed for each event

  2. Recruit volunteers for events by working with fellow board members

  3. Organize event details related to volunteers

  4. Gather need for volunteer roles and number of people needed

  5. Coordinate and plan orientation for volunteers

  6. Manage volunteers during the event

  7. Communicate with volunteers (i.e. updates, answering questions, etc.)
